Frequently asked questions about Mutual Exchanges 

If you are a Williamsburgh Housing Association tenant, you could swap your home with another tenant. This is called a 'mutual exchange'. Most mutual exchanges involve another Williamsburgh tenant or the tenant of Renfrewshire Council or a housing association within Renfrewshire, although this is not always the case.

By exchanging you may be able to get the kind of house you want without having to wait on the general waiting list.

Exchanges are, however, not limited to two parties and three-way exchanges can take place, provided that all landlords are in agreement.

How do I apply?

You must complete a Mutual Exchange application form, you can complete this online or you can request a form from our office.

How can I find someone to exchange with?

There are 2 ways to find someone to exchange with:

1. Visit our office and ask about the 'Mutual Exchange List'. The list holds details of applicants who are interested in a move to the area and are willing to consider a mutual exchange. These details are on public display so you can browse through information to find someone to exchange with.

 2. Visit our website www.williamsburghha.co.uk to view the list. These details are updated regularly can be easily accessed for all.

What should I do if I find someone to exchange with?

Contact our Customer Services Team. You can do this on the telephone, via our website or in person and state which property you are interested in. Please quote your reference number and the reference number you are interested in.

How long will i have to wait before getting an answer?

By law we must give you a decision within one month

What happens next?

Once we know which property you are interested in we will:

• Check to ensure the exchange will meet our allocations guidelines as outlined in our policy.

• Check that all tenants have a clear rent account or an existing payment arrangement is in place and this has been maintained over the previous 12 week period.

• Check there have been no problems with the tenancy.

If you want to exchange with a tenant of another landlord we will write to their landlord for information to let us process the application. We will also give their landlord information about your tenancy.

We will contact the other tenant to gauge interest in the possible exchange and if interest is shown we will give contact details for viewings to be arranged.

If the above criteria are met, both parties will be notified in writing and will be asked to sign a new tenancy agreement for their new home. You must not move in before you have done this.

Why would I be refused permission?

• We will not refuse permission without good reason. Examples being overcrowding, under occupation, rent arrears, anti-social behaviour etc.

• We will not agree to the exchange unless the house you want to move to suits your needs.

If you do not agree with our decision you can appeal it by giving your reasons in writing to our office. We will then investigate and write further with the outcome of your appeal.
